Position Summary
The Traffic Manager schedules incoming art requests, matches appropriate projects with the Creative team of designers, assists in defining priorities for the Creative team as needed, and liaises between the Creative and Editorial teams to facilitate the creation of book packaging designs. This requires hiring freelance cover designers as well as utilizing in-house designers and managing communications between the Art Director, Designer, Editor, and Author to come to an agreeable solution.
 
Responsibilities and Expertise
  • Drive the process from initial kickoff through design, final approvals, and the release of finished artwork to the printer
  • Receive and review all kickoffs and art requests submitted to the department, and collects input from various stakeholders on editorial and creative teams
  • Work with Art Director to allocate appropriate creative resources, then assigns projects according to production schedule
  • Traffic and schedule all kickoffs and other art requests using Asana
  • Work closely with in-house graphic designers, freelancers, editors, production, and other team members as required to monitor and move all projects throughout the design and production process
  • Review daily work schedule with Art Director and Graphic design team
  • Publish a daily and weekly design status report to ensure complete and constant transparency and clarity across all team members of schedules and job status
  • Hire freelance cover designers
  • Foresee potential scheduling and delivery conflicts early and proactively proposes solutions to Art Director and master scheduler for review
  • Prepare assets for Art Director to use in weekly Cover Review meetings
  • Update creative status in weekly Editorial meetings
  • Manage communication and routing of all concepts, page proofs, and digital proofs for review
  • Make sure all materials are approved by Art Director as well as other departments as needed
  • Point person for maintaining and updating design projects in Asana
  • Perform other job duties as needed to assist the Art Director
 
Skills, Knowledge & Abilities
  • Strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
  • Understanding and experience with physical design and printing process
  • Ability to analyze, schedule, assign, and track workflow through the creative department
  • Proven ability to meet deadlines, while juggling multiple concurrent projects in a fast-paced environment
  • Resourceful, with excellent problem-solving skills
  • Ability to create routine reports and correspondence
  • Ability to think ahead and anticipate potential obstacles
  • Excellent communication and negotiation skills. The candidate needs to be able to communicate clearly with internal staff from various departments, authors, and freelance artists
  • Proficiency using Excel, Word, Microsoft Outlook Email/Calendar, Zoom. Experience using online communication, organization, and project management apps (Slack, Asana, and Box). Familiarity using Adobe Acrobat and Adobe InDesign
 
Education and/or Experience
  • 5 years’ experience working with a creative/art team as a traffic or project manager at an agency, publisher, or in-house creative services department
  • 2 years’ experience working in publishing
  • Theoretical knowledge typically achieved through a 2-year college experience, such as an associate degree
